The Client

Kayak & Open Table

Kayak and Open Table are two distinct household names with many things in common.

Kayak is a market-leading travel booking aggregator, giving customers instant access to hundreds of travel sites to find the information they need for flights, hotels, car hire, and holiday packages. Founded in 2004, the business has grown to over 1,000 staff operating across several other brands, including CheapFlights and HotelsCombined.

Open Table is a leading online restaurant booking engine, facilitating more than one billion diner booking every year across Australia, Mexico, United States, United Kingdom, and India.

Both companies share the same parent company and are members of the booking.com group of companies.

The Problem

Kayak and Open Table had collectively scaled a team in the Philippines to more than 90 staff over their history. The Philippines-based team were supporting both companies in role categories covering software development, customer support, marketing support, sales support, and IT help desk.

With this growing team came a number of challenges for Kayak and Open Table, namely:

  • Hiring Managers tasked with sourcing, vetting, and onboarding Philippines-based candidates. They had to it all themselves!
  • 90 different invoices on 90 different payment cycles to manage for Accounts Payable every month
  • No time tracking facility to capture working hours. Staff would need to do this manually on their monthly invoice; and
  • Growing burden on Human Resources compliance for both companies

The Solution

Flexhive by Hudson’s approach was to combine two of its solutions to form an ongoing partnership with Kayak and Open Table.

  1. Our Global Payroll Solution to transition the existing population of 90 staff from Kayak and Open Table to flexhive by Hudson’s payroll. This helped Kayak and Open Table achieve:
    1. One singly month invoice on one cycle – reducing significant administration on Kayak and Open Table’s accounts payable team
    2. One simply facility to manage timesheet entry, approvals, and leave management
    3. Migrating all staff onto a single payment cycle each month; and
    4. Significantly reduced human resources and compliance burden, leveraging our expertise instead
  2. Our Managed offshoring solution to support Kayak and Open Table with the continued growth of their Philippines-based team, leveraging our always-on 4-stage talent pre-qualification process to increase speed to hire, quality of hire, and facilitating the recruitment process on their behalf, giving Hiring Mangers back a lot of time.

"Flexhive were able to implement a unique solution to suit our business needs. The team have been wonderful to work with over the past 6+ months and we appreciate our continued partnership as they provide offshore recruitment solutions as needed." – Sarah Aldering, Senior Regional People Partner – Kayak & OpenTable
